One of the first questions we hear is: should we buy a ready-made system or build our own? The honest answer is usually neither extreme. Most businesses do best with a ready system for the standard work, plus custom development only where they are really different.
Three options
- A ready-made system, such as Odoo, configured for your business: accounting, sales, purchasing, inventory, manufacturing and HR are already built and tested.
- Custom software, built from scratch around one specific process.
- A mix of both: a ready system as the base, plus custom modules, apps or integrations for what makes your business different.
The criteria that matter
- How standard is the process? Accounting, VAT and inventory follow the same rules for everyone, so rebuilding them from scratch adds cost and risk.
- Time to launch: configuring a ready system takes weeks, while building a full system takes months.
- Total cost over time: custom software has to be maintained, updated and kept compliant, for example with e-invoicing rules, for as long as you use it.
- Integrations: a ready system already comes with integrations for payments, shipping, online stores and devices, or can be connected to them.
- What makes you different: if a specific process is your real advantage, it may deserve its own development.
A quick decision guide
- If most of your needs are standard, start with a ready system and customise it.
- If you have one unique process, such as a field sales app or a special production line, build that part and connect it to the system.
- If you need to work offline or with special hardware, a desktop or mobile app connected to the system is often the answer.
- Avoid building accounting, tax or inventory from scratch unless you have a very strong reason.
Examples from our work
A field sales app for sales representatives that works on the road and syncs with Odoo. A desktop application for weighbridges that keeps working even without internet. Integrations between Odoo and payment gateways, online stores and attendance devices. In each case, the ready system handled the standard work, and custom development covered what was unique.
How to reach a decision
Start with a discovery session to understand how your business works. Then compare your requirements with what the ready system already does (a fit-gap analysis), and estimate the effort and cost of each gap. The decision becomes clear as soon as you see this map.
